Forms and customer data: how Mia OS handles it for you
Almost every app needs a form at some point: a contact form, a sign-up page, an order form. Mia OS builds those forms for you, including what happens to the data once someone has filled them in.
Why a form is more than a few boxes to fill in
A form looks simple: someone fills something in and clicks send. But a lot happens behind that button. The data has to go somewhere, be stored securely and often be processed in the right way, such as a confirmation email, a notification to you or a new row in an overview.
You used to need a developer for that. With Mia OS, you simply describe what you want in plain language and Mia takes care of the rest, from how the form looks to where the data is stored.
How to ask Mia for a form
You don't need to know how a form works technically. You just say what you need, for example:
- "I want a contact form with name, email address and a message field"
- "Make sure I get an email as soon as someone signs up"
- "Save the sign-ups so I can look at them later"
Mia OS turns that description into a working form. She picks the right type of input field for each part, makes sure required fields really are required, and builds the connection to storage and any notifications straight away.
Want to change something, such as an extra field, a different order or another colour? Just say so. It works like a conversation.
Where the submitted data goes
When someone fills in a form in your Mia app, the data is stored in a secure database that belongs to your app. It isn't a shared space that others can see. It is your own environment.
From there, you can use the data in several ways:
- View it on an overview page in your own app
- Forward it automatically to your email or another tool
- Link it to other parts of your app, such as a customer list or a bookings overview
Mia OS builds that processing flow for you once you say what you want to do with the data. You never have to 'look' inside the database yourself if you'd rather not: the app presents the data in a way that works for you.
Privacy law and handling customer data safely
As soon as you collect data from customers, even just a name and email address, privacy law applies, such as the GDPR (in Europe). That sounds complicated, but the basics are simple: you may only collect data you genuinely need, you have to tell people you are storing their data, and you have to keep that data properly secured.
Mia OS helps you with this:
- Forms only ask for what is needed: you decide which fields go in
- Data is stored encrypted: outsiders can't simply read it
- You can have a privacy statement or consent checkbox added to any form
Mia OS builds the technical side. The responsibility for the content, meaning what you do with the data and how you explain that to customers, stays with you as the owner of the app. That is how it should be.
Managing, changing and deleting data
Customers have the right to see their data or have it deleted. You can build that into your Mia app as well.
You can ask Mia to create an admin page where you can view, filter or delete submitted forms yourself. Or you ask Mia for a button that lets customers request or erase their own data.
This kind of feature isn't an extra module or an expensive add-on. You describe it, and Mia builds it. That way your app grows with what you need, even when the law or your own way of working changes.
Frequently asked questions
Can Mia OS also receive files through a form, such as a photo or PDF?
Yes, that's possible. Tell Mia you want a field where people can upload a file, and she builds it in, including storing the file in a secure place inside your app.
What happens if someone fills in nonsense or spam in my form?
Mia OS can build in basic validation, such as checking that an email address has the right format, and add spam protection on request. Tell Mia what you want to keep out and she will put the right technical measure in place.
Can I export the submitted data to Excel or another program?
Yes. You can ask Mia to add an export function so that you (or a member of staff) can download the data as a file or send it on to another system.
Do I need to arrange anything myself for the GDPR if I use a form?
Mia OS handles the technical security. But as the owner of the app, you are responsible for what you do with the data and how you explain that to your customers, for example in a privacy statement. Mia can build that text and the matching checkbox in for you.
