Automating invoices: I pick up the part that keeps piling up

Automating invoices means your invoices get created, sent and followed up without you spending time on it every week. Your bookkeeping software usually handles the first part; the rest — checking, chasing, digging things up, answering questions — stays with you. That's the gap. That's where I start.

What can actually be automated?

Creating and sending. Same amounts, same clients, same dates. Any bookkeeping tool can do that. You set it up once and it runs.

Following up. Seeing who hasn't paid, sending a friendly nudge, and another one later. That's possible too, but plenty of owners never switch it on, because the tone doesn't sound like how they talk to their clients.

The bit in between is where it breaks. Forwarding incoming invoices, finding a receipt again, a client asking whether you ever got theirs. That stays handwork.

So why does work still pile up?

Software waits for you. It prepares the invoice, but someone still has to check it, hit send, and remember weeks later that it was never paid.

That's where your Sunday evening goes. Not in the typing. In the remembering.

And remembering isn't something a button can take over. For that you need someone keeping an eye on it with you.

How do I work alongside your bookkeeping tool?

I don't replace it. You keep what you have, and I do the work around it.

I track which invoices are open and when they're late. I write the reminder in your words and leave it ready, so all you do is say yes. If you'd rather, I send them myself.

Incoming invoices I pull out of your mail, prepare for your bookkeeper and file where you'll find them again. Ask me on Monday morning who still owes you and you get the answer right away.

When is it worth it?

If you send the same invoices every month, the setup pays for itself quickly. That's the easy part.

If your time goes into chasing and searching, the gain sits elsewhere: you no longer have to watch it yourself.

Send a handful of invoices a year? Then keep doing it by hand. I'll tell you straight when it isn't worth it for you.

No. I work with what you already have. If there's no direct link, I find another way in.

Do you send reminders to my clients yourself?

Only if you say so. By default I leave them ready and you decide. You read along before anything goes out.
